What each entry records
Each journal entry records the date and time, act type, document description, signer ID details and fee. Which fields your state requires is set by your state's law and handbook.
Date and time
Every entry carries the date and time of the notarial act.
Act type
You record what kind of act you performed, such as an acknowledgment or a jurat.
Document description
You describe the document in a short line, so you can find the entry later.
Signer ID type and details
You note the type of ID the signer showed and its details.
Fee
You record the fee charged for the act. Fee and travel tracking is covered on the fee and mileage page.
Capturing the signer's signature
The signer signs with a finger on the phone screen, and the signature is saved with the entry. This replaces the signature line of a paper journal.
Adding a thumbprint photo
Yes, you can record a thumbprint as a photo, without an ink pad. The photo is optional on every entry.
When your state asks for a thumbprint
California requires a right thumbprint in the journal for deeds affecting real property and powers of attorney (Gov Code 8206(a)(2)(G)). Other states differ, so read the thumbprint rules guide and the California page. The entry field set in the app is configurable per state.
Photo quality tips
Use good light, hold the phone steady and keep the print in focus. Retake the photo if the ridges are blurred.
